COPAA is the only national membership organization of special education parents, attorneys and advocates. The annual COPAA conference draws over four hundred members from across the country for intensive training, workshops, and meetings, and as such is one of the best ways to reach hundreds of decision makers to promote your business and its services, as well as promote your interest in supporting excellence in special education for students with disabilities nationwide. Exhibitor Information: Exhibitors will be able to exhibit in a high traffic area which all conferees will access as follows:

Specific information regarding set-up and break-down will be sent with acceptance letters.

You may purchase either a Full Exhibit Table, or share space with others as part of our Take-One Exhibit Area.

Exhibit Tables: An Exhibit Table at the COPAA Conference is an excellent opportunity for a representative from your organization to personally reach individuals from across the country who are influential in the decision making process for services and accommodations provided to students with disabilities.

Take-One Exhibit Area – this service is available for the distribution of free brochures and other material from your company, if you are unable to send a representative to staff a full exhibit table. Pamphlets, brochures, cards, leaflets, magazines and similar material will be displayed prominently so that those visiting the exhibit area can help themselves. This exhibit is for paid “Take-One” exhibitors ONLY, on a first come first serve basis. COPAA staff will set up the display and visit the exhibit regularly to replenish the materials. Each exhibitor for this area will be included in the list of exhibitors. A fee of $100.00 will be charged for each set of brochures, leaflets, booklets, or packets of information that is displayed. This fee includes the exhibitor’s listing and regular servicing of the exhibitor’s materials. Unused materials will not be returned.

To assure space and listing in the program, we request that exhibitors please send in the application and fee to COPAA by February 1, 2009. Individuals wishing to participate in the Take One Table are requested to include a sample of each brochure to be displayed with your application/contract. COPAA will send a letter indicating the status of your application.

The following advertisement sizes are available for purchase. Ads will be included in the 2009 Conference Compendium of Materials. We prefer the ads to be in either .pdf or .jpg format. The deadline to receive advertisements is Feb 1st.

Acceptance of Contract: Applications for exhibits are subject to review. COPAA continues to reserve the right, at its sole discretion, to accept or reject requests for exhibit space at the 11th Annual COPAA Conference. This contract is not considered accepted until signed by a COPAA representative.

This contract constitutes the applicant’s agreement to abide by the following guidelines included in this exhibitor’s invitation to ensure the safety and success of the conference.

COPAA Exhibitor Contract Guidelines

Agreement with the following guidelines is a condition of acceptance by COPAA of this Exhibitor Contract in connection with the 11th Annual Conference, March 5-8, 2009.

• No exhibitor shall be permitted to display information for any substance, product or service which represents a potential threat to public health or safety.

• No exhibitor shall display or distribute any substance which may be ingested, injected or otherwise physically introduced into the body which purports to have some effect on any disability or medical condition or its symptoms (e.g., medications, dietary or liquid supplements, food additives, vitamins, etc.).

• No exhibitor shall display or distribute any information that contains claims that may not readily be substantiated by generally accepted scientific research methods and findings and/or educational standard and practice.

• It is the responsibility of the exhibitor to be aware of and abide by all rules and regulations of the conference venue. Information will be sent to you prior to the event.

I certify that I have read and understood the COPAA Exhibitor Contract Guidelines and standards, and I agree that failure to operate in compliance therewith may result in immediate revocation of exhibitor privileges and booth closure by COPAA or its designated representative and forfeiture of all fees paid to COPAA in connection with the COPAA 11th Annual Conference.
